Job Description

Seeking an unlicensed transaction coordinator located in WA state to support our real estate team at our Anacortes office. We prefer in-office but will consider remote work for the right candidate. Responsibilities include managing administrative tasks from contract to close, such as handling escrow documents, coordinating inspections and repairs, and obtaining seller approval for offers. Work hours are Monday to Friday, 8:00 am to 5:00 pm Pacific time. The ideal candidate possesses strong communication skills, meticulous attention to detail, and enjoys interacting with others.   • Obtain signatures and other documentation from clients to complete real estate transactions
  • Prepare and manage documents related to real estate transactions
  • Ensure all paperwork is accurate and compliant with local and state regulations
  • Coordinate with other parties involved in real estate transactions, such as lenders, appraisers, surveyors, and title companies
  • Monitor all dates, deadlines, and requirements for real estate transactions
  • Assess our current systems and processes and make suggestions on how improvements can be made
  • Be a point of contact with Cooperating Agents, Lenders, Title Company Reps, and other parties to keep the transaction flowing smoothly from contract execution to closing
  • Manage 50-80 transactions per month
  • Keep the company transaction deadline calendar up-to-date
  • Keep company transaction document records up-to-date
  • Provide transaction documents to the necessary parties
  • Assist in ordering and scheduling inspections and appraisals
  • Follow-up on completion of repairs and work orders
  • Follow company transaction processing checklists
  • Any other tasks assigned by the team leader
Qualifications:
  • At least one year of real estate administrative experience
  • Must know Purchase & Sale Agreements
  • Proficiency with real estate transaction processes
  • Strong written and verbal communication skills
  • Willingness to cross-train and learn other job duties to assist other team members if needed
  • Excellent critical thinking skills and attention to detail, including tech savviness
  • Keeps organized and detailed records for compliance purposes
  • A pleasant phone voice
  • Good spelling and grammar
  • Methodical and diligent at completing required tasks
  • Confidence in using a computer to complete tasks in web-based programs
  • Able and willing to set up a new transaction management system
