Job Description

Primary Purpose:

Manage internal operations for CHEST Business Development Division. Primary responsibilities include: serving as a liaison across other Divisions; facilitating contract review and approval; defining the marketing needs for supported programs and ensuring programs are marketed; defining the data collection requirements and reporting needs for funded programs; developing boilerplate information that can be used in proposals and communications with external supporters; ensuring that reports are compiled and that funders and supporters receive updates on programs; formulating budgets; and tracking financial performance.

Essential Functions/Responsibilities:

  2. Assist with contract processing (working with Business Development leads, Finance, and other internal stakeholders) to facilitate timely review and approval of agreements.
  3. Coordinate budget development for the Business Development Division. Effectively manage and track approved budgets and coordinate reforecasting efforts within the unit.
  4. Track and stay abreast of reporting deadlines for funded programs and coordinate with key stakeholders responsible for providing programmatic and financial data to meet deadlines.
  5. Document and track data collection requirements and reporting needs for funded programs; ensuring that reports are compiled, and that funders and supporters receive updates on programs
  6. Monitor project timelines and milestone with CHEST Project Management Office and report back to Business Development directors to ensure fulfillment of deliverables. Gather program results/metrics that can be reported to the client. Work with PMO and other Divisions to troubleshoot and resolve issues on programs that are underperforming.
  7. Monitor and coordinate support and recognition statements to ensure that funders are properly recognized and that all acknowledgements follow compliance regulations.
  8. Ensure marketing and sales materials, such as slide decks and other materials) are developed and maintained. Coordinate with Marketing/Communications Team as necessary on development of materials and on marketing needs for programs.
  9. Coordinating with various departments and teams (education, outcomes, marketing, and meetings) to ensure operations needs for CHEST Annual Meeting funded programs are met. Ensure endured content is captured/recorded, details for data collection for outcomes reporting is solidified, signage for all supported programs is completed, and marketing of supported programs before, during, and following Annual Meeting is occurring.
  10. Work with Program Management Office and other Divisions and teams to operationalize potential new products and/or fine tune existing procedures.
  11. Build and maintain tracking systems for currently funded opportunities and opportunities in the pipeline, and ensure that results are available on a continuous basis. Work with I&T to make necessary modifications to netFORUM, tableau, and other systems as needed, if applicable.
  12. Develop and maintain system for tracking performance of sales partners.

Required Qualifications and Competencies:

  1. At least a Bachelor’s degree and 5 years of directly relevant experience
  2. Demonstrated ability to manage and balance multiple competing priorities/projects
  3. Analytical thinking and problem solving skills

  5. Demonstrated ability to influence and negotiate through written and verbal communication
  6. Demonstrated ability to identify and build collaborative solutions that provide organizational opportunities

  9. Competent in the use of Microsoft Office software such as Word and Excel in a Macintosh environment
  10. Understanding of the complex health care environment
  11. Ability to accommodate up to 20% travel

Preferred Qualifications and Competencies:

  1. Prior experience in a medical association education or development division, or in the pharmaceutical industry, a plus

Additional Information

The annual base salary range for this position is USD $82,000 to USD $92,000. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, or other items. CHEST considers factors such as, but not limited to, the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, and market and organizational considerations when extending an offer.
